Manager, Project Management Services

Our office in Boston (Brighton) is looking for a Manager of Project Management Services to join our team on a part-time basis.

Position Summary:

The Manager of PM Services ensures appropriate client support by the PM team, for critical, complex and large scale design, and training and consulting initiatives. The Manager of PM Services drives the strategy of the PM Services department within Novations and with clients, provides ongoing support, coaching and direction for the PM team, and promotes the appropriate use of PM services to directly and indirectly grow revenue.

Job Resposibilities
Client support and Project Scoping:
  • Assign Project Managers to client projects, (and at times internal projects) to ensure the best cost/benefit for Novations and our clients—focusing on outcomes, quality, cost, and timelines.
  • Partner with sales leaders, sellers, and client support teams to appropriately scope and price PM resources during proposal process for implementations meeting the appropriate criteria for PM support. This includes being available for client calls or assigning a team member to support the sale of PM services as needed.
  • Create successful client outcomes for team members by managing and influencing internal relationships in order to remove barriers to complete project implementations.
  • Track all opportunities that may require PM support through our pipeline/sales cycle.
  • Monitor profitability of all projects assigned to PM team members including comparison of scoped budget, actual budget, and billed budget.
  • Design, document, and maintain a complete process for the PM cycle. This includes the project manager’s initial introduction to project, through the withdrawal of project manager upon project completion yet ensuring continued ongoing high quality support to the client.
  • Partner with peers to ensure continuous improvement of client support and satisfaction.
  • Implement measurement system of client satisfaction for projects.
  • Utilize and understand the OpenAir system and implement processes to ensure the PM team’s accurate billing and reporting of revenue and costs in OpenAir.
Departmental Support and Processes:
  • Represent and increase visibility and value of the PM function within Novations to a) ensure seller confidence in the team resulting in increased sales of PM services to increase revenue and ensure client success, and b) continuously improve clarity of PM role; vis-à-vis, other Novations’ team members on client engagements.
  • Monitor PM project cycles and proactively manage PM resource use and costs.
  • Maintain and oversee calendar of all active PM Service team projects.
  • Regularly evaluate all PM labor costs and tasks to ensure appropriate resource use and ensure sustained accuracy of project scope and department productivity.
  • Update PM scoping criteria and process as business and client needs change.
  • Create documents, resource base, and repository for sharing best practices and tools among team members and across Novations.
  • Create and use measurement tools for providing internal and external clients and PM team with measureable data on successes and challenges of PM processes and implementations for continuous improvement.
Team Development:
  • Actively develop all team members to create a team that is cross trained in most project implementation types through direct mentoring and coaching as well as by promoting mentoring and coaching among team members.
  • Create an on-boarding process for all new PM hires that incorporates continuous learning across all projects, clients, and product types in order to establish a team with a standard skill set to manage project implementations.
  • Develop team members to successfully navigate Novations' culture, client needs, and cross-functional relationships.
  • Model successful project management by actively managing client implementations as time allows. Use these opportunities for developmental experience for team members.
  • Actively support and advocate for the individual growth and development of team members.
  • Partner with Human Resources in an ongoing way to establish a business need for additional PM recruitments—to grow and develop the team through programs outside of PM department and to build a successful departmental structure that promotes a healthy career track.
Managerial/Administrative:
  • Create and oversee annual departmental budget and operational strategy.
  • Review and approve all team time sheets and expense reports.
  • Lead regularly scheduled team meetings.
  • Attend and actively participate in annual and/or quarterly leadership meetings, monthly managers’ meetings and other function area meetings as requested.
Skills/Qualifications:
Required
  • BA/BS degree required, MBA preferred
  • Over five years in managing a team
  • Ability to influence people and resources across peer groups, as well as advocate appropriately with leadership team
  • Experience in managing and implementing multiple priorities and tasks
  • Ten years experience in professional services industry in a client contact role such as consultant, trainer, account manager, program manager, or senior project manager
  • Ability to implement strategic goals, understand the "big picture," and how the PM Service team role complements the overall company strategy
  • Comfort in working with people from diverse backgrounds
  • Proven success with client relationships (both internal and external)
  • Proven success in verbal and written communication with both internal and external clients
  • Mathematical skills necessary to manage departmental budget, monitor expenses, complete comparative analysis, and ensure accurate invoicing and collections on occasion
  • Proficient in suite of Microsoft Office Products: Word, Excel, PowerPoint, and Outlook
Preferred:
  • Ideal candidate has experience in working in training or consulting firm whose focus is people performance improvement. Experience with Novations is preferred.
  • Business acumen as demonstrated by MBA or three or more years P&L responsibility in a professional services environment
  • Proficient in Microsoft SharePoint and OpenAir
  • Knowledge of Microsoft SalesForce.com
